Coffee shop inventory: where to start with POS reporting

Use sales data to make a manageable first inventory routine for an independent café.

Begin with the products that affect margin most: coffee, milk, syrups, food, packaging, and high-value retail items. Link menu items to a simple product list where the POS allows it, then choose a count frequency your team can keep consistently.

Use POS reports to spot patterns before automating everything. Compare expected sales with purchases, waste, and physical counts. Investigate large differences, but do not mistake imperfect early data for a reason to abandon the routine.

Make the process practical. Define who receives stock, who counts it, where costs are updated, and when the owner reviews the numbers. A weekly habit with a small list of critical items is more useful than an elaborate inventory system that is never maintained.
